Exhibition Loans

Items from the SUB Göttingen collections are available for exhibition loans, subject to certain requirements and conditions.

SUB Göttingen makes items from its collections available for exhibitions in museums, libraries, archives, and other public cultural institutions. Loans to private individuals, trade fairs, travelling exhibitions, or private institutions are not possible.

Please submit your loan request at least six months before the planned opening of the exhibition, either by email or by post to Karsten Otte (otte@sub.uni-goettingen.de).

Information about the requirements and conditions for loans can be found in the information sheet. Please note that loan requests may be declined for conservation or other reasons. Special conditions may apply to particularly fragile or valuable items.

To process your request, please send us the completed Loan Application Form or provide the following information:

  • Title of the exhibition
  • Exhibition period and duration
  • Address of the exhibition venue
  • Organising institution
  • Name(s) and contact details of the responsible person(s)
  • Facility report for the building and exhibition rooms
  • Information about the transport of the loan items
  • List of the requested items, including shelfmarks and page references

Evaluation of Loan Requests

Your request will be reviewed by the responsible department in consultation with the conservation workshop. The decision is based on the information you provide about the exhibition venue and conditions, as well as the preservation status, transportability, and availability of the requested item. The review process usually takes between two and four weeks.

Costs

All costs arising from the transport, insurance, and exhibition of the loan items are to be covered by the borrower. For the duration of the exhibition, all loans must be insured. Insurance is arranged by SUB Göttingen through the general exhibition insurance policy of VGH Hannover, and the costs will be charged to the borrower.

The borrower is liable for any damage that may occur during transport or while on display and is responsible for covering the costs of any necessary conservation work. SUB Göttingen does not charge any administrative fees for loans.
